Frequently Asked Questions

Are there any long-term contracts?

No. IntakeIQ is month-to-month by default. You can cancel anytime with 30 days' notice. We also offer annual plans with a 10% discount for practices that prefer to lock in pricing. DSO enterprise agreements may include custom terms.

What does the implementation fee cover?

Implementation includes: account setup, PMS integration configuration, custom form creation (up to 5 forms), team training (2 sessions), and a dedicated onboarding specialist for the first 30 days. We do the heavy lifting — your team just shows up for training.

How long does setup take?

Most single-location practices are live within 2 weeks. This includes PMS integration, form configuration, and team training. Multi-location DSOs typically deploy in phased rollouts of 2-4 weeks per wave of 10-20 locations.

Can I change plans later?

Yes. You can upgrade or downgrade at any time. Upgrades take effect immediately — you're prorated for the remaining billing cycle. Downgrades take effect at the next billing cycle. Feature access adjusts automatically.

Is there a free trial?

We offer a 30-day pilot instead of a free trial. The pilot includes full implementation, PMS integration, and training — so you're testing the real product in your real workflow, not a sandbox. Pilot terms are discussed during the demo. There is no obligation to continue after the pilot.

What PMS systems do you integrate with?

Currently: Open Dental (all plans), Dentrix and Eaglesoft (Professional and Enterprise), Dentrix Ascend (Enterprise), and tab32 (Enterprise). Curve Dental is on our roadmap. If your PMS isn't listed, contact us — we add new integrations quarterly based on customer demand.

Do you charge per patient?

No. IntakeIQ pricing is a flat monthly fee per location. You can process unlimited patients, unlimited forms, and unlimited insurance verifications. No per-patient, per-form, or per-verification charges. Ever.

What if I have multiple locations but different PMS systems?

The Enterprise plan supports multi-PMS environments. If Location A uses Dentrix and Location B uses Open Dental, IntakeIQ connects to both from a single dashboard. This is one of our most requested features from DSOs that have grown through acquisition.
